Following your initial registration, you will be granted a ‘cooling off’ period of 72 hours, in which you can make changes to your booking without penalty or cancel your entire booking and receive a full refund (less a £25 administration fee). After this, your full registration is payable in the event you wish to cancel your booking.
You may cancel your booking at any point before your scheduled departure date. To do so, you must submit a Cancellation Form. This will be processed within five working days of submission.
Once your cancellation request has been reviewed, this will trigger any outstanding payments to be deducted from your chosen account. If you opt to split your registration fee over two instalments, and you decide to cancel your booking before your second instalment has been paid, this payment will be due at the point of cancellation. If you cancel within ten weeks of departure, then your full balance payment is due at the point of cancellation.
Please note: Registration fees are non-refundable in the event of cancellation, so if you choose to cancel your place you will not receive a refund of either your first or second registration fee instalments. You may, however, be able to recover the costs from your travel insurer, depending on the reason(s) for cancellation, and the terms of your coverage.
Any donations received remain pledged to your charity.

If you wish to change the date of your trip, you will need to complete a Trip Alteration Form. This will be reviewed within five working days of submission. Trip changes can be made up until ten weeks before your scheduled departure. A fee of up to £150 is payable in the event you wish to change your trip date, unless your request is submitted within the 72-hour ‘cooling off’ period, in which case there will be no additional charge.
If you wish to add an extension trip to your booking prior to the cut-off date highlighted on your registration page, you can do this without penalty by logging into your online booking and updating the ‘Travel’ section under ‘My Bookings’.
For any other travel option changes (including adding/removing flights and/or extension trips), you will need to submit a Trip Alteration Form. This will be reviewed within five working days of submission. Changing your travel option will incur a fee of £100 (plus any non-recoverable supplier costs we incur). Please see Section 12 of our Terms & Conditions for full details. Travel option changes can be made up to ten weeks before your scheduled departure.
